Job Posting: Office Manager for AMM Collision in Dripping Springs

Locally owned & independent multi-shop collision repair company AMM Collision Center is looking to add a stellar Office Manager for our Dripping Springs location located at 3990 Highway 290 E Dripping Springs, TX 78620.

Job description and responsibilities:

  1. Customer service
    1. Greeting & interacting with customers, insurance adjusters with a great smile and attitude
    2. Ensuring a great customer experience throughout the repair process
    3. Follow up and communication with customer and service writers
    4. Reviewing paperwork, warranty, customer survey
    1. Collecting all money owed and any signatures
    2. Answer multiple line phones and communicate messages to staff
  2. Office
    1. Maintain Office appearance
    2. Facilitate a team environment with office staff to meet company goals
    3. Order office supplies as needed
    4. Maintain established spending budgets
    5. Filing and record keeping
    6. Processing payments
    7. Processing bank deposits
    8. Processing credit cards batch deposits
  3. Accounts Payable
    1. Timely vendor payments
    2. Reconciling monthly statements
    3. Troubleshooting and investigating invoicing, parts returns and credit memos
    4. Working with parts department and service writers to quickly resolve invoice issues
  4. Accounts Receivable
    1. Generating timely reports for service writers to collect on aging AR’s
    2. Communicating write offs of AR’s to the Controller
    3. Reporting issues with uncollected AR’s to the manager and Controller
    4. Frequent follow up with service writers to ensure timely collection of AR’s
  5. Payroll
    1. Produce on-time weekly payroll for technicians & staff
    2. Process payroll according to AMM guidelines
    3. Correcting any errors on an employee’s time sheet
    4. Communicating with Payroll department of any changes in staff
    5. Keep track of uniforms, employee equipment financing and other owed payments
  6. Safety
    1. Reporting any worker injuries to the Controller
    2. Ensuring employee goes to designated in network medical facility
    3. Ensuring the employee adheres to their work restrictions and that they make their required appointments
    4. Maintain shop records for worker injuries on OHSA 300 logs
  7. Accounting
    1. Ensuring all daily financial activity is properly recorded in the general ledger
    2. Maintain checkbook and all required receipts are recorded in the GL
    3. Ensure accuracy of all postings
    4. Participate in monthly audits of recorded journal entries with controller to ensure accuracy of invoices, billed goods, materials and address erroneous entries
  8. Reports
    1. Be able to use excel to generate any reports required by the controller
    2. Be able to export, sort, filter data as needed for reports
  9. Communication with Managers
    1. Be able to follow up with any tasks, assignments, projects or requests given to them by owners and managers

 

Requirements:

Valid Driver’s License and Social Security Card

Clean criminal background check (no felonies or theft)

Ability to work on multiple projects and assignments as needed

Excellent communication skills, both written and verbal

Very organized

Able to meet deadlines

Self-motivated and proactive

Willingness to take on more responsibilities as needed

Thorough and strong attention to detail

Up-kept professional appearance

Work schedule is Monday through Friday 7:15am to 5:30pm

45 hour work week

This a paid hourly position with overtime
